Zoho Books — full product map & feature interlinks (Caesar reference)

Section titled “Zoho Books — full product map & feature interlinks (Caesar reference)”

Captured 2026-06-19 from Zoho’s official Help docs (zoho.com/us/books/help/) + API docs (zoho.com/books/api/v3/) and the live demo. Purpose: so when we build any one Caesar feature/batch we know which others it touches. Flags note where a detail is doc-confirmed vs UI-observed vs inferred.

  • Home/Dashboard — health snapshot assembled from every module: Total Receivables (Sales/AR), Total Payables (Purchases/AP), Cash Flow (Banking/GL), Income & Expense (GL), Top Expenses (expense accounts), Projects (Time Tracking), Bank & Credit Cards (Banking), Account Watchlist (COA).

2. Shared foundations (underpin everything)

Section titled “2. Shared foundations (underpin everything)”
  • Chart of Accounts (= General Ledger): every posting txn debits/credits COA accounts. Account types (API): Asset (cash, bank, accounts_receivable, fixed_asset, stock, other_current_asset, payment_clearing_account), Liability (accounts_payable, credit_card, other_current_liability, long_term_liability), Equity, Income (income, other_income), Expense (expense, cost_of_goods_sold).
  • Contacts — one store; transaction type distinguishes Customer vs Vendor (one entity can be both). Currency, terms, credit limit, opening balance. Anchors all sales/purchase docs.
  • Taxes · Currencies/multi-currency · Templates · Users&Roles · Reporting Tags · Opening Balances · Payment gateways — cross-cutting config.
Section titled “3. FEATURE INTERLINKS (the important part)”

Rule: every posting doc (invoice, bill, expense, payment, deposit, manual journal, categorized bank line) writes to the COA = GL; Reports read the GL. Non-posting docs (Quote, Sales Order, PO, Delivery Challan) don’t hit the GL until converted.

  • Banking ↔ Sales: Payment Received picks a “Deposit To” bank account (or Undeposited Funds → later moved to bank). A money-in bank line matches an existing invoice payment or categorizes as a Customer Payment → Accounts Receivable. Credit-note refund = money-out of a bank account.
  • Banking ↔ Purchases: Vendor Payment “Paid Through” = a bank account; Expense “Paid Through” = bank/cash/card; a money-out bank line can be categorized as an Expense. Expense Refund / Vendor-credit refund = money-in. Card Payment = pay a credit-card account from a bank.
  • Banking ↔ Accountant (GL): categorize/match posts to GL via COA; Transfer To/From Another Account (transfer_fund) moves between two bank/cash/card accounts (no P&L impact); Recurring Journals post to GL on schedule.
  • Add Transaction types → targets: Customer Payment→AR/invoices; Sales without Invoices/Interest/Other Income→income accts; Owner’s Contribution/Drawings→equity; Expense Refund→expense acct; Expense→expense acct; Vendor Payment→AP/bills; Card Payment→credit-card acct; Transfer→another account. (Expense/Vendor Payment/Customer Payment/Credit-Note Refund are owned by their modules, surfaced in Banking.)
  • Bank Rules → auto-categorization → GL: match feed lines by Payee/Description/Reference#/Amount → set Account + Paid Via, separately for Deposits vs Withdrawals → Recognized (confirm) or Autocategorized → posts to GL.
  • Reconciliation ← every imported line must be matched/categorized first.
  • Recurring generators: Recurring Invoice→child Invoices→Payments Received→Banking; Recurring Bill→child Bills→Payments Made→Banking; Recurring Expense→Expense records (paid-through Banking); Recurring Journal→child Manual Journals→GL. All four feed the Cash Flow forecast.
  • Conversion chains: Quote→Sales Order→Invoice (also →Retainer/Project); PO→Bill (or PO→Purchase Receive→Bill).
  • Invoice→Payment Received→bank (excess→customer advance); Bill→Payment Made→bank (excess→vendor credit).
  • Items/Inventory: buying tracked item raises stock/Inventory Asset; selling lowers stock, Dr COGS (FIFO)/Cr Inventory Asset; Sales Order reserves Committed Stock.
  • Reports read GL + module data; Draft excluded.

4. Account Summary (Banking) widgets — captured from the LIVE demo (Help docs only cover “Latest Statement Details”)

Section titled “4. Account Summary (Banking) widgets — captured from the LIVE demo (Help docs only cover “Latest Statement Details”)”

Activity Summary [Check Summary (in progress/to be printed) · Latest Statement Details (Transactions, Auto-Categorized, Recognized, Duplicates, Uncategorized, Best Matches) · Last Manual Import (count, date) · Last Reconciliation (date, closing balance)] · Transaction Rules (Withdrawal/Deposit rule counts, New Rule) · Bank Summary chart = Closing Balance over last 30 days · Total Uncategorized (Categorize now) · Total Recognized (Categorize now) · Recent Transactions (View More) · Recurring Expenses (→Purchases) · Recurring Journals (Next Journal Date →Accountant).

5. Add Transaction types PER ACCOUNT TYPE (live demo + API)

Section titled “5. Add Transaction types PER ACCOUNT TYPE (live demo + API)”
  • Bank: In = Customer Payment, Sales Without Invoices, Other Income, Interest Income, Owner’s Contribution, Expense Refund, Credit Note Refund, Customer Advance, Transfer From Another Account. Out = Expense, Vendor Payment, Vendor Advance, Card Payment, Owner Drawings, Transfer To Another Account.
  • Credit Card: In = Card Payment, Expense Refund. Out = Expense, Owner Drawings. (No owner contribution/interest/other income; refund is card-only; Card Payment is money-IN for the card account.)
  • Cash: demo wouldn’t open the menu — inferred asset-account set: In = Customer Payment, Sales Without Invoices, Other Income, Owner’s Contribution, Transfer From Another Account; Out = Expense, Vendor Payment, Owner Drawings, Transfer To Another Account (no Card Payment). VERIFY in live UI if it matters.
  • Money In/Out dropdown labels + full Account-Summary widget layout come from the live UI/API enums, not Help prose. Capture exact strings from the running app.
  • Help never says “GL” on banking/matching/rules pages — GL posting is the accounting consequence.
  • Recurring Expenses/Journals aren’t documented as Banking widgets in Help, but the live demo shows them on the account Account Summary (so Caesar includes them, linking to Purchases/Accountant).
